Preparing for a grant monitoring visit

A monitoring visit is not a full statutory audit, but it still tests whether you can prove the story in your claims. Grant officers typically sample a handful of transactions and ask how approvals work day to day.

Before the visit, print or export the claim schedule, the general ledger extract for the award code, and the folder of sampled invoices. Brief the person who will walk through a transaction end to end: requisition, approval, payment, and filing. If match funding is required, have the co-funding schedule ready with bank evidence or signed in-kind valuations.

Do not invent missing paperwork on the day. Flag gaps early, show the remediation plan, and agree what will be sent after the visit. Honesty plus a clear fix timeline usually lands better than a polished but incomplete pack.
